Club Settings

Configure your club’s email appearance, sender information, and preferences. These settings apply to all campaigns sent from your club.

Accessing Club Settings

  1. Navigate to your club’s dashboard
  2. Click on “Settings” in the sidebar
  3. You’ll see all configurable options

Note: Only Club Owners can modify club settings. Editors and Viewers have read-only access.

Email Settings

From Name

The display name shown as the sender in email clients:

  • Example: “Computer Science Club” or “CSA Newsletter”
  • Best Practice: Use your club’s official name
  • Character Limit: Recommended under 50 characters

From Email Slug

The part before @clubmail.csaonline.ca in sender addresses:

  • Example: “newsletter” → newsletter@clubmail.csaonline.ca
  • Default: Uses your club’s slug if not set
  • Best Practice: Use something recognizable (e.g., “newsletter”, “updates”, “club”)

Reply-To Email

Where replies to your emails should be sent:

  • Optional: Leave blank to use default
  • Recommended: Set to your club’s official email address
  • Example: club@example.com or president@club.org

Default Subject Prefix

Optional prefix added to all campaign subject lines:

  • Example: “[Newsletter]” → Subject becomes “[Newsletter] Weekly Update”
  • Optional: Leave blank for no prefix
  • Use Case: Help subscribers identify emails from your club

Branding Settings

Brand Color

Primary color used in email templates:

  • Format: Hex color code (e.g., #b1d135)
  • Default: #b1d135 (CSA green)
  • Usage: Used in buttons, links, and accent elements
  • Tip: Use your club’s official brand color

Add social media links displayed in email footers:

  • Facebook - Your club’s Facebook page URL
  • Twitter/X - Your club’s Twitter/X profile URL
  • Instagram - Your club’s Instagram profile URL
  • LinkedIn - Your club’s LinkedIn page URL
  • Other - Any additional social media links

Format: Full URLs (e.g., https://facebook.com/yourclub)

Tracking Settings

Enable Tracking

Toggle open and click tracking:

  • Enabled: Tracks when emails are opened and links are clicked
  • Disabled: No tracking pixels or click tracking URLs
  • Default: Enabled
  • Privacy: Some email clients block tracking by default

Note: Disabling tracking means you won’t have analytics data for campaigns.

Saving Settings

  1. Make your changes
  2. Click “Save Settings” button
  3. Changes apply to all future campaigns
  4. Existing campaigns are not affected

Best Practices

Sender Information

  • From Name: Use your club’s official name consistently
  • From Email: Keep it simple and recognizable
  • Reply-To: Always set to a monitored email address
  • Subject Prefix: Use sparingly, only if needed for identification

Branding

  • Brand Color: Match your club’s official colors
  • Social Links: Keep links up to date
  • Consistency: Use the same branding across all campaigns

Tracking

  • Enable Tracking: Keep enabled to measure engagement
  • Privacy: Be transparent about tracking in your privacy policy
  • Analytics: Use tracking data to improve campaigns

Impact on Campaigns

New Campaigns

All new campaigns automatically use:

  • From name and email from settings
  • Brand color for styling
  • Social links in footer
  • Subject prefix (if set)
  • Tracking preferences

Existing Campaigns

  • Settings changes don’t affect already-sent campaigns
  • Draft campaigns will use new settings when sent
  • Scheduled campaigns will use settings at send time

Troubleshooting

Changes Not Appearing

  • Make sure you clicked “Save Settings”
  • Refresh the page to see updates
  • Verify you have Owner permissions
  • Check that settings were saved successfully

Email Not Sending

  • Verify “From Email Slug” is set correctly
  • Check that reply-to email is valid (if set)
  • Ensure club is active
  • Contact support if issues persist

Branding Not Showing

  • Verify brand color is a valid hex code
  • Check that social links are full URLs
  • Preview a campaign to see branding in action
  • Clear browser cache if needed
